The business world and Government moved from typewriters to workstations, a similar path is being followed regarding digital imaging. No longer are we satisfied to store paper documents in file cabinets, today we require instant access to documents and to have these documents simultaneously shared by any number of authorized individuals. As digital imaging has taken hold it has become even more evident that legacy documents must be part of the digital file, therefore many organizations have begun to convert paper or microfiche documents to digital images.

Client
A large South American Country wanted to convert the extensive library of paper based 22’ X 18” Land Records which were double sided and dated back to 1887.

Outsourced Process
In most cases the only practical approach to convert a significant volume of paper documents to digital images is to perform the conversion process at the clients location, in this case it was the only approach. Biz-Core assigned its management/document conversion team and set out to do battle with well over six million very old & fragile duplex and oversized documents.

Volume
One time Back File Conversion of over 6 million duplex documents generating over 12 million digital images. Established a Day Forward Workflow for Retrieval and Updating of Image File.

Time Period
Since 1995, we have been providing Back File Conversions, Back File Projects continue today for a number of State Governments and U. S. Corporations both large and small.

Process Description
In order to process these fragile and oversized documents Scan-Optics digital vacuum scanners were utilized. In addition to producing a digital image, five fields of information had to be captured from each side of the document. With documents dating back to 1887 it was impossible to utilize automated data capture
therefore the 10 Index Fields had to be keyboarded and verified. To minimize data capture cost, digital images of the documents were sent to our wholly owned document-processing center in India. During the project Biz-Core had a production rate of 100,000 images per day, the entire project was completed in less than 6 months.

As with most of our Back File Projects, Biz-Core provided the Client a Turnkey System including training, scanners and workflow design to continue with their day forward operations.
